GRANTS ADMINISTRATOR –  TEMP-TO-HIRE

POSITION SUMMARY

Provide document production support to the Grants Administrator and Systems Analyst with critical responsibilities related to operating the grants data management system - MicroEdge Gifts. Also, responsible for managing the foundation's employee/board matching fits program and other duties as assign.

JOB DESCRIPTION

  • Provide general support to Grants Administrator
  • Provide back-up to the Vice President's office — correspondence, input new proposals, decline process, assign new proposals and change status upon assignment to Program Officers
  • Communications with potential and current grantees through phone calls and email
  • Produce electronic and hard copy documents for Board of Director meetings to include extensive proofreading and document merging functions
  • Maintain central file equipment to include repairs/maintenance and order supplies for the Grants Department  Manage paper grant files for the Department
  • Assist VP and program staff with maps, audio visual presentations and specific reports, as requested o Other duties as assigne
  • Provide support and back-up to Systems Analyst in operating the MicroEdge GIFTS data system:
  • Update GIFTS database with new proposals through contract process
  • Track payments and create drafts of letters and envelopes for transmittal to Finance
  • Produce multiple GIFTS reports for management and the Board of Director

MATCHING GRANTS

  • Reconcile donations with eligible charities and perform due diligence to confirm IRS 501 c3 tax status on organizations to qualify for matching funds
  • Maintain matching grants database (e.g. enter data from forms, create payment list for payments, cover letters and envelopes).

COMPETENCIES, SKILLS & ABILITIES

  • Bachelor's Degree preferred
  • Three to five years MicroEdge GIFTS experience required, Blackbaud or similar experience with similar grants management software; SQL, Access database experience also considered important
  • Experience migrating to a new software system is highly preferred
  • Strong proofreading skills with attention to detail and the ability to edit a variety of letters, reports and documents
  • Adobe Photoshop and up-to-date technical aptitude of iPad and Cloud computing
  • Advanced Microsoft Office Suite skills (Word, Outlook, PowerPoint, Excel)
  • Strong proofreading skills with attention to detail and the ability to edit a variety of letters, reports and documents
  • Strong interpersonal skills required related to grantee/customer relations
  • Strong problem-solving skills leading to the ability to work independently with a minimum of supervision and in a team setting
